Automove (Basic): Move Job Automatically When E-Signature Complete

You can set up your jobs to move automatically to the next stage of the pipeline once the document is signed by all parties. To make this automation magic happen, turn on the  Automove feature, then link your document to a job either from the web portal or from the Windows desktop app. The same logic works if you request approval and link the document pending approval.

Step 1. Set up the e-sign stage and enable automove

A perfectly automated process always begins with selecting the right place for it in your workflow. You can do this in two steps:

1. Make sure you have a stage in your pipeline for documents pending signature. This stage could also include a task template for the team member responsible. Once the job enters this stage, the task is created asking them to upload 8879, request a signature for it and link the document to the job. 

2. Make sure the  Automove Jobs toggle for the stage is turned on. You don't have to add any automations to make it work with the linked document pending signature, although you have the option of doing so.

Step 2. Upload a doc and link it to the job

It's important not only to upload a document, but also to link it to the job since this is the only way you can ensure the job will move to the next stage once the document is signed by all parties. You can do this in two ways:

From the web portal

Upload the prepared docs to a folder with  Client can view  access. Once you clicked Next at the beginning of uploading, click the + Link jobs button, select a job and click Link. For details, go to our article on linking documents.

You also can link the document to jobs, while sending a signature request or in the list of documents anytime after the document is uploaded. Read more here.

From the Windows app

When uploading a document via the desktop app, turn on the Link to job toggle, then select the job from the list.

Step 3. Request a signature

Use the  Request Signature option to send the PDF to the client for e-signing. You can do this either from the web portal or from the desktop app


Note! If the document is not signed and you manually move the job to another stage, you’ll be prompted to decide what to do about it (here's more on how to handle unfinished elements when moving jobs).
